This Privacy Policy explains how Lab378 Ltd (“Lab378”, “we”, “us”) — the maker of the Livia AI Inside Sales Agent — collects, uses and shares personal data when you visit withlivia.com (the “Site”) or use the Livia product (the “Service”). It is intended to satisfy our obligations under the UK GDPR, EU GDPR and applicable US state privacy laws (including the CCPA/CPRA).

1. Who we are

Lab378 Ltd is a UK-registered company with operations in Southampton, United Kingdom and Nashville, Tennessee, USA. We are the data controller for personal data collected through the Site. For Service data processed on behalf of brokerage customers, Lab378 acts as a data processor under a written Data Processing Agreement.

2. Information we collect

  • Information you provide: name, work email, phone, brokerage name and other details you submit through the demo form or by emailing us.
  • Usage data: pages viewed, links clicked, referring URL, device, browser, approximate location, and similar analytics signals.
  • Cookies and similar technologies: a small first-party cookie used for A/B testing, plus optional analytics cookies (see Section 7).
  • Customer Service data: when a brokerage uses Livia, the Service processes lead conversations, contact records and CRM data on the customer’s behalf under a Data Processing Agreement.

3. How we use it

  • To respond to demo requests and inquiries.
  • To operate, secure and improve the Site and Service.
  • To send transactional emails about a demo or pilot you’ve requested.
  • To comply with legal obligations (including TCPA, Fair Housing and NAR guidelines applicable to the Service).

We do not sell personal information. We do not use Site visitor data to train third-party AI models. The Livia Service does not use customer or lead data to train shared foundation models.

4. Legal bases (UK/EU GDPR)

  • Consent — for optional analytics/marketing cookies and direct marketing emails.
  • Contract — to provide a demo or pilot you have requested.
  • Legitimate interests — to run, secure and improve our website and product, where not overridden by your rights.
  • Legal obligation — to comply with tax, accounting and applicable consumer-protection regulations.

5. Sharing

We share personal data only with:

  • Service providers who help us run the Site and Service (e.g. hosting, analytics, email, CRM, payment processors), under contracts that restrict use to our instructions.
  • Brokerage customers, where you have interacted with Livia on their behalf.
  • Authorities, where required by law, lawful request, or to protect rights and safety.

6. International transfers

Personal data may be transferred between the UK, EU and US. Where required, we use the UK IDTA, EU Standard Contractual Clauses or equivalent safeguards approved by the relevant data protection authorities.

7. Cookies & analytics

We use a small set of first-party cookies for essential site functionality (including a visitor ID used for A/B testing). Where enabled, we may also use:

  • Google Analytics 4 — to understand aggregate site usage.
  • PostHog — for product analytics on this site.

You can control non-essential cookies through your browser settings. We honor Global Privacy Control (GPC) signals where applicable.

8. Retention

Demo and inquiry data is retained for up to 24 months unless you ask us to delete it sooner. Service data handled on behalf of a brokerage is retained in line with that customer’s configuration and our Data Processing Agreement.

9. Your rights

Depending on where you live, you may have the right to access, correct, delete, port or restrict our use of your personal data, object to processing, and lodge a complaint with a supervisory authority (in the UK, the ICO). California residents have specific CCPA/CPRA rights, including the right to know and the right to delete; we do not sell or share personal information for cross-context behavioral advertising.

10. Security

We use industry-standard technical and organizational measures to protect personal data, including encryption in transit, least-privilege access, audit logging and vendor due diligence. No system is perfectly secure; please report suspected vulnerabilities to support@withlivia.com.

11. Children

The Site and Service are intended for businesses and are not directed at children under 16. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this policy from time to time. Material changes will be flagged on the Site. The “Last updated” date at the top of this page shows when changes took effect.
